Fruitful Endeavors, LLC (“Fruitful Endeavors,” “we,” “us,” or “our”) respects your privacy and the confidentiality of your business financial information. This policy explains what we collect, how we protect it, how long we keep it, and the rights available to you.

1. Information We Collect

We collect information you provide directly when you book the Bookkeeping & Tech Quick Check™, engage ongoing services, or contact us: name, business name, email address, phone number, mailing address, and billing details.

In the course of bookkeeping engagements we also receive business financial records, including bank and credit card transaction feeds, merchant gateway payout data (Stripe, PayPal, Square, and comparable processors), invoices, receipts, payroll summaries, sales tax filings, and prior-period financial statements.

We automatically collect limited technical data when you visit this website, such as IP address, browser type, device type, referring page, and pages viewed, for security and analytics purposes.

2. How We Use Your Information

We use your information to deliver contracted bookkeeping, clean-up, advisory, and digital workspace services; to prepare financial statements and reports; to communicate about your engagement; to issue invoices and process payments; and to comply with legal, tax, and professional obligations.

We do not sell, rent, or trade your personal information or your business financial data to any third party for marketing purposes, ever.

3. Credential Vaulting & Access Controls

Where an engagement requires access to your accounting platform, bank feeds, payment gateways, or workspace tools, credentials are stored exclusively in an encrypted password manager (credential vault) protected by a unique master passphrase and multi-factor authentication. Credentials are never stored in plain text, email, spreadsheets, chat messages, or shared documents.

Wherever the platform supports it, we request delegated or role-based access (for example, Xero advisor access or QuickBooks accountant access) instead of your personal login. Access is limited to the minimum permissions required to perform the work.

You may revoke our access at any time from within the applicable platform. Upon written termination of services, active credentials in our vault are purged within thirty (30) days.

4. Data Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption in transit (TLS) and at rest, device-level full-disk encryption, multi-factor authentication on all business systems, least-privilege access, and routine security reviews.

No method of transmission or electronic storage is completely secure. While we work diligently to protect your information, we cannot guarantee absolute security.

5. Florida Statute § 501.171 Breach Notification Compliance

Fruitful Endeavors, LLC is a Florida limited liability company and complies with the Florida Information Protection Act, Fla. Stat. § 501.171.

In the event we determine that a breach of security has occurred involving unencrypted personal information, we will provide notice to each affected individual as expeditiously as practicable and without unreasonable delay, but no later than thirty (30) days after determination of the breach, unless a delay is requested in writing by a federal, state, or local law enforcement agency.

If a breach affects five hundred (500) or more individuals in Florida, we will additionally notify the Florida Department of Legal Affairs within thirty (30) days, and, if the breach affects more than one thousand (1,000) individuals, we will notify all consumer reporting agencies that compile and maintain files on consumers on a nationwide basis, as required by statute.

Notices will describe the incident, the types of information involved, and the steps individuals can take to protect themselves.

6. Disclosure to Third Parties

We may share information with subprocessors and service providers strictly to perform services on our behalf, including cloud accounting platforms, secure document storage, receipt-capture and sync connectors (such as Dext Commerce, A2X, Link My Books, or Webgility), payment processors, and communication tools. Each is bound by confidentiality obligations.

We may disclose information where required by law, subpoena, court order, or governmental request, or to establish, exercise, or defend legal claims.

We may share information with your accountant, CPA, or tax preparer at your written direction.

7. Data Retention (7 Years)

We retain client financial records, engagement communications, workpapers, and supporting documentation for a period of seven (7) years following the conclusion of the applicable engagement or fiscal year, consistent with IRS recordkeeping guidance and professional standards.

After the retention period expires, records are securely destroyed or permanently deleted. You may request an export of your records at any time during an active engagement.

Certain records may be retained longer where required by law, or where necessary to resolve a dispute or enforce our agreements.

8. Your Rights & Choices

You may request access to, correction of, or deletion of the personal information we hold about you, subject to the retention obligations described in Section 7. You may opt out of marketing communications at any time using the unsubscribe link or by emailing us.

To exercise any right, contact privacy@fruitful-endeavors.com. We will respond within a reasonable period and may request verification of your identity before acting on a request.

Our services are intended for business owners and are not directed to children under 13. We do not knowingly collect information from children.

9. Changes to This Policy & Contact

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated Last Updated date at the top of this page, and, where appropriate, communicated directly to active clients.
